Job Description

My client operates in the field of private equity. Their legal department is looking for a first class legal PA with extensive experience in Corporate and M&A Legal work. The role involves supporting a head of Legal, as well as 3 fee earners. This is a fantastic opportunity to make this role your own, and establish systems and processes in the department. The business is very fast paced and the right person needs to be driven and committed to delivering exceptional service, internally and externally.

PA Support

? Manage relationships with external lawyers, many of whom will be partners at law firms, and internal contacts

? Extensive diary management; arranging meetings, booking meeting rooms, organising travel arrangements and organising catering

? Collating information and preparing agendas for meetings; circulating agendas and background documentation prior & minute taking and follow up of action points taken

? In the absence of the Head of Legal, act as the first point of contact to sort, field and action all incoming correspondence where appropriate (including email management)

? Extensive liaison with internal infrastructure and legal team to support and manage team & client internal and external events including the annual Lawyers Forum held in each region

? With the Head of Legal, Legal Counsels or Paralegal maintain the current suite of BGF standard legal documents through a robust version control system for updates; maintain and update the current legal precedent folder and add new precedents accordingly

? Support project work as required to help legal team activity (internal updates and know-how, investment processes, transaction and post-transaction admin etc.)

? Preparation of reports, memos, letters and other documents, using word processing, spreadsheet, database, and/or presentation software

? Pro-active management of legal contact list via CRM System

? Prepare and manage responses to incoming correspondence containing routine inquiries

? General administration; e.g. photocopying, filing

Essential skills and experience

? Proven experience of working with a group of lawyers at a law firm or for an in-house legal team together with experience of updating and generating new legal precedents including automatic numbering etc

Knowledge of administrative and secretarial procedures

? Advanced knowledge of MS packages and experience of working with legal documents and typeface

? Highly organised with excellent ability to coordinate of people and resources with a hands on and can do attitude

? Outstanding communication skills and professional, courteous manner and the ability to get the best out of people.

? Calm and measured will the confidence and ability to take of control of the smooth and efficient running of the Legal team

? High level of attention to detail


? Proficient in IT troubleshooting
